Auto Responders


For the purpose of this discussion, an AutoResponder is an automated server that responds to e-mail requests on demand; 24 hours a day, 7 days a week. Upon receiving an incoming e-mail, it uses either the e-mail address or subject field to immediately e-mail the sender a specified document.

Using an AutoResponder is a customer's first attempt to interact with your company. While he or she may not email or call you with their questions, the AutoResponder may provide just the information that he or she is seeking. Some examples of information include:

  • Price Lists
  • Catalogues
  • Special Reports
  • Data Sheets
  • Specials
  • Resumes
  • Applications or order forms
  • Track response to a special or advertisement

Why not just include the information on the Web site? By using an AutoResponder to provide this information you can monitor viewer interest in a specific topic. Since most AutoResponders provide feedback on who requested the information, you can check to see if requests are from competitors or actual prospects. This feedback from the AutoResponder service also provides you with the information to send a follow-up message.

Each AutoResponder is usually limited to one e-mail document response piece per address. Therefore, you may need to purchase several AutoResponders, one for each product or service.

After using several AutoResponders, I believe that a traditional "to-the-point" informational piece is the best response vehicle. While some companies use an exhaustive direct mail type letter, I don't believe that the typical Internet visitor responds well to this approach. In any event, providing comprehensive information regarding a specific product or service immediately, and without human intervention, is a technology that all experienced marketers should appreciate.

A typical AutoResponder can automatically process approximately 100,000 requests in one day.
